Contact Detail

The single-contact page is everything you know about one person in one place: their details, a running history of every chat and note, and all their quotes, invoices and jobs.

What it does

Open a contact and you can:

  • See and edit their details.
  • Log an interaction (a call, text, message or visit) and set the next follow-up.
  • Add quick notes, which sit alongside interactions in one combined timeline.
  • See an Activity log of changes made to the record.
  • Manage their Quotes, Invoices and Jobs (including job photos).
  • Share a public account statement of their invoices and payments.

Where to find it

Go to Clients ▾ → Contacts, then click a person's name. You can also reach it from the Pipeline board, the Follow-ups queue, search, or anywhere their name is a link.

Finding your way around

On wider screens a section menu runs down the left (Details · Schedule · Activity & notes · Quotes · Invoices · Jobs) — click any entry to jump straight to it, and it highlights the section you're currently looking at as you scroll. The busier sections (activity, quotes, invoices, jobs) show a few items at a time with Previous / Next paging so a long history stays easy to browse. Need help? Step by step

Edit the contact

Click Edit (top right). The contact form opens pre-filled — change anything and click Save changes. See Contacts for what each field means.

Log an interaction

Use this every time you actually speak to or message the person.

  1. Click Log interaction (top right).
  2. In the Log an interaction pop-up, fill in:
  • Channel — how you reached them: Discord, Phone, Sms, Whatsapp, Email, Facebook, Nextdoor, In Person or Other.
  • DirectionOutbound (you contacted them) or Inbound (they contacted you).
  • What was said — a short summary, e.g. "They asked for a quote on gutter cleaning".
  • When — the date it happened (defaults to today).
  • Next follow-up — the date you should next chase them. Setting this keeps them in your Follow-ups queue.
  1. Click Log it. The interaction appears at the top of the timeline.

Add a note

For things that aren't a conversation — reminders, observations, access details:

  1. In the Activity & notes card, type into the box ("Add a quick note about this contact…").
  2. Click Add note. It appears in the timeline tagged Note, with your name and the date.
  3. To remove a note, click the small bin icon on it.

The timeline also shows automatic customer messagesBooking confirmation sent, Reminder sent, "On my way" sent — and review requests with their status (Pending → Sent → Clicked). See the Customer Comms guide.

Work with quotes

In the Quotes card:

  1. Click Add quote to build a new quote with line items.
  2. Each quote shows its title, a status badge (Draft, Sent, Accepted, Declined) and total.
  3. Use the menu on a quote to:
  • View / PDF — open the public quote page.
  • Email to client — send a draft quote.
  • Accept (create job) — mark it accepted, which automatically creates a job.
  • Mark declined.
  • Create invoice — turn an accepted quote into an invoice.
  • Delete.

Work with invoices

In the Invoices card:

  1. Click Add invoice to raise one manually.
  2. Each invoice shows its title, status (Draft, Sent, Paid, Overdue), totals and how much has been paid.
  3. Use the menu to View / PDF, Email to client, Record payment, Mark paid (or Mark unpaid), or Delete.
  4. Payments recorded against an invoice are listed beneath it, each with the date, method and amount, and a bin icon to remove one.

Work with jobs

The Jobs card lists each job's service type, a status badge (Scheduled, Completed, Cancelled), its scheduled/completed dates and price.

  • Jobs are usually created when you accept a quote, or you can add one from the top of the page with the Add job button.
  • Any photos attached to a job show as thumbnails — Before and After shots are paired side-by-side (tagged B/A), with other photos below. Tap a thumbnail to open the full-size lightbox, where you can flick between photos (‹ ›), add or edit a caption, re-tag a photo as Before/After/Photo, or delete it.
  • For a Completed job, a Create invoice button lets you bill it in one click.

Share an account statement

If this contact has any invoicing, an Account statement card appears lower down the page. Click View / print to open a shareable, running statement of their invoices and payments — handy to send a client who wants their account history.

What each screen shows

  • Header — the contact's name, a status badge, their business name, and the Edit, Log interaction and Add job buttons.
  • Details card — Phone, Email, Address, Source, Client type, a Round dropdown (put this client in a round / route day), Services, Estimated value, Next follow-up and Last contacted, plus any saved Notes.
  • Activity & notes card — the note composer at the top, then a single timeline mixing interactions (with channel/direction badges) and notes, newest first.
  • Quotes / Invoices / Jobs cards — one per area, each with its own add button and per-item actions.
  • Account statement card — only shown when the contact has a statement link.
  • Activity log card — a short history of recent changes to this contact (only shown when there's activity to display).

Tips & good to know

  • The Last contacted date in the Details card updates automatically when you log an interaction.
  • Logging an interaction with a Next follow-up date is the cleanest way to keep someone on your radar — it feeds the Follow-ups queue and the Next follow-up column on the Contacts list.
  • Accepting a quote creates the job for you, so you don't have to add it by hand.
  • Job photos open in a built-in lightbox at full size, with Before/After pairing and captions — good for proof-of-work and before/after shots. Most photos are captured out on the round (see the My round guide).

Troubleshooting

  • "No activity yet" — you haven't logged any interactions or notes yet. Use the composer or the Log interaction button.
  • I can't find the account statement card — it only appears once the contact has a statement link (generated when there's invoicing activity).
  • A quote action is missing from the ⋯ menu — the available actions depend on the quote's status (e.g. you can only "Email to client" a Draft, and "Create invoice" appears once it's Accepted).
  • Some changes need owner rights — if an action doesn't appear, your account may not have permission; check with the owner.
